What starts a routine?

A schedule, an authenticated webhook, a GitHub event, or a Slack message where Slack messaging is enabled. Connecting an app does not add an email, order, or CRM-event trigger.

Questions worth asking.

What can run on a schedule?

A routine is a saved instruction on one bot: gather a weekly report, check stock or bookings, triage a queue, or prepare follow-ups. Set it daily, on weekdays, weekly, monthly, at an interval, or with cron. It uses the bot’s available tools and approval rules. Replies and files land in its chat; mobile can notify you.

Can a routine start when an email or order arrives?

There is no direct new-email or new-order trigger. Use a schedule, an authenticated webhook, a GitHub event, or a Slack message on deployments that enable Slack messaging. A separate system can forward an event to the webhook from its server. A connected app alone does not start a routine. Webhook runs ask before side effects.

What does it connect to?

The catalogue includes Gmail, Outlook, Slack, Google Sheets, Notion, Asana, Zendesk, Stripe, Square, QuickBooks, and more. Availability and setup vary by app and deployment; see the tiers above. Connections belong to you in a Space, and all your bots there can use them. For a tool without a connector, a bot can try its browser; you sign in with Take control. Browser access is not a guarantee that every site works.

What is a bot’s computer, and is it isolated?

It is a persistent browser, terminal, and files. The hosted service uses Docker containers. A Team Computer shares files and browser identity among your bots; choose a Private computer when that working state should be separate. Spaces form separate access boundaries. Per-bot permissions cover commands, file changes, apps, software installs, and browsing. Running a bot on your own Mac is a different trust boundary.

Can it act on our systems without asking?

Yes. Bots act without asking by default. Turn on Ask before sending external email and Ask before purchases for the actions those presets cover. An approval card offers Allow once, Always allow this tool, or Deny. Prepare drafts only removes all tools, including reading connections and using the computer; it is for text drafts and checklists. Guided setup starts bots in that mode. Scheduled runs follow the approval rules you set.

How do we teach it how we do things?

Choose Teach a task on the bot’s computer, describe the result, and select Start recording. Demonstrate the work. One drafts a skill with the inputs, steps, checks, output, and approval boundaries. Review it, Save, Test, then Add to routine. Keep testing when the task or the website changes.

Can I ask it from my phone?

Yes, through One’s mobile app. Chat apps such as Telegram, WhatsApp, and Slack are planned for the next release. Those connections reply when you message the bot; they do not send routine results proactively or carry images, files, or approval cards. Review approvals in One.

What happens when a routine’s output stops being useful?

Turn off its Active switch. Read Run history and the replies in chat, then change the instruction or sources and use Test run again. Ask the Architect to review the setup if the job itself has changed. Proposed changes wait for Apply and remain in History. A schedule is not a substitute for attention.
